Open Invoices

Steps

  1. Open Invoices and choose New invoice. (Or use New → Invoice, or Create an invoice on Home.)

  2. In Customer & dates, pick the Customer, then set the Issue date and Due date. Tap Due on receipt, Net 7, Net 15, Net 30 or Net 60 to fill in the due date.

  3. Leave Invoice number blank to use the next number automatically, or type your own. Open Billing address & job details to change the bill-to address or add a PO or job reference and job site.

  4. In Items, add each line with a description, quantity, unit and rate. Use Pick from catalog or Quick add by part number to fill lines from your price list. Tick Taxable on lines that are taxed.

  5. Open Discount, tax & extra charges for a discount, your sales tax rate or extra charges.

  6. In Terms & notes, choose your Payment terms and an optional Note to your customer. Your usual payment instructions are added for you.

  7. In Look, choose the title at the top (Invoice, Tax invoice, Bill or Statement of work) and a design.

  8. Check the Live preview, then choose Save draft.

Issue the invoice

A draft can still be changed, and shows a DRAFT stamp if you share it. When it’s right, open it and choose Issue invoice, then Confirm issue. Issuing locks the amounts so your books stay correct. It does not send anything by itself; send it next.

Invoice statuses

  • Draft: still being prepared.
  • Issued: final and waiting for payment.
  • Partially paid and Paid: payments have been recorded.
  • Overdue: past its due date with a balance.
  • Void: canceled. It stays in your records.
