YOUR DATA

What Intralyn stores (and what it doesn’t)

Intralyn keeps the details you type in: customers, invoices, quotes, documents, books and the rest. It doesn’t store files or keep copies of your documents, so download a PDF whenever you want your own copy.

What Intralyn keeps

  • Your records: customers and vendors, invoices, quotes, documents, payments, bookkeeping, products and services, tasks, appointments, jobs, time and mileage.
  • Your business settings, including your logo, colors and (on paid plans) your own form design. These are small images saved with your settings so your documents look right.
  • Your account: the names and emails of the people on your team, sign-in security, your plan and billing status, and a history of changes.

What Intralyn doesn’t keep

  • Files. You can’t upload or attach files to records or support requests.
  • Receipt photos. A photo you scan is read once to fill in the form and is never saved.
  • Copies of your documents. Each PDF, printout or link is made fresh from your record when you ask for it.
  • Card numbers. Payments for your Intralyn plan are handled by Stripe.

Keep your own records

Intralyn is a tool for running your business, not a backup or archive. The tax and record-keeping rules for your business are yours to follow, so keep the copies you need: download PDFs of the invoices and receipts you send, keep original receipts, and download a copy of all your data regularly.

Don’t enter sensitive information

Never type card numbers, other people’s bank account numbers, Social Security or other ID numbers, passwords, health information or information about children into notes or other free-text boxes. Intralyn isn’t built to hold that kind of information. Your own payment details in Payment instructions, which print on your invoices, are fine.

How long things are kept

  • While your account is open, your records stay until you delete them.
  • After you close your account, we keep your records for 30 days in case you change your mind, then delete them no later than 90 days after closing. Backup copies expire 30 days later.
  • A Free account no one has signed in to for 12 months may be closed after we email the account owner at least 30 days before.
  • Saved copies and files from before Intralyn stopped storing files are permanently deleted on January 24, 2027.

Questions

Where should I keep receipts?
Anywhere you like: a folder on your computer, your own cloud storage or a paper file. Intralyn records the expense; the receipt itself is yours to keep.
Can Intralyn get back something I deleted?
No. Once you delete a record it’s gone for good, so download a copy first if you might need it.
