What makes event and order paperwork hard Per-guest quotes that keep changing The headcount moves from 120 to 140 the week before, and the quote, the deposit and the balance all need to follow.
Custom orders on sticky notes A three-tier cake for Saturday and two dozen cupcakes for Friday can’t live on the fridge door.
Food costs you can’t see Restaurant-supply and grocery receipts are the biggest expense, and the hardest to keep up with.

Questions caterers and bakers ask Can I quote per guest? Yes. Set the quantity to the headcount and the unit to “guest”. When the count changes, edit the quote and send the new version from the same link.
Can I take a deposit and bill the balance before the event? Yes. Record the deposit as a payment on the invoice; the balance stays open, and payment reminders can nudge the client before the due date.
Can nonprofits be tax-exempt? Yes. Mark the customer tax-exempt with their certificate type and number, and tax is removed with the certificate printed on their invoices.
Can I track ingredient inventory? On Starter and up, you can track stock on hand for the items you choose, with counts and low-stock alerts. It counts items; it doesn’t break recipes down into ingredients.
Can customers order online? Not yet. Take orders by phone or email and enter them as quotes or invoices. Pro and Business also include a sales order template.
